Submit a report to your manager
If you are a member of a team and need to submit a report to your admin or manager for approval, this is the guide for you.

How to submit a report on the app
- From the app, go to Reports
- If it’s your first time, you’ll be brought to the create a report page. If you have made one before, tap on the + sign in the top right-hand corner.
- Select the relevant filters (vehicle, date range, trip type, odometer)
- Click on Save and view to view the generated report, then click Submit
- When you submit the report, you can add a message for the admin/manager to see
If your report was approved, there are no further actions you should take. Don’t forget to keep on recording your trips, so you’re ready for the next reporting period.
Please note
You can’t edit a report you’ve already created. Also, keep in mind that if you record new trips or make changes to your already logged ones after creating a report, those changes will not be seen on the saved report and you’ll need to withdraw the submitted report and create a new one.
How to submit a report on the web
- Login to the web
- Click on Reports
- Click on + Create Report
- Optional: If you have more than one, select the correct vehicle and workplace
- Under the next filter select the date range - If your team has set a date range (for example, weekly), you’ll find them under reporting periods
- Select if you want to show Business or Business/Personal
- Finally, select if you want to show or hide the odometer
- Now you can review the report - You’ll see the summary of miles/kilometres driven for that time period at the top of the report
- Each individual trip is shown below - You can check that they are correct and any necessary notes are added
- Once reviewed click Save and View - This will create a report for your own records
- Next click Submit - This will send the report to your team admin/manager
- You can click on Reports again and you will see that it is now saved and awaiting approval
- When the admin/manager has approved, it will change status to approved
If your report was approved, there are no further actions you should take. Don’t forget to keep on recording your trips, so you’re ready for the next reporting period.
What happens if my report is rejected?
If you receive an email that your report has been rejected, it is most likely because a trip is incorrect. Your team admin/manager will include a comment on what needs to be corrected.
Your administrator can see no other details about your trips other than the data you submit in the report, so you should contact your manager/administrator if more information or explanation is required.
Once you have made the necessary corrections to your trip record, you will then need to create and submit a new report.
Please note
Once you have made the changes, the rejected report does not update automatically. Instead, you need to create and submit a new report for the same date range. You can then delete the rejected report if you wish.
How do I withdraw a report?
You can withdraw a report you’ve submitted to your Team. You can only do so if the report’s status is still “Awaiting approval”, meaning the team manager hasn’t approved or rejected the report yet. If you choose to withdraw a report, the team manager won’t be able to see it anymore in their team overview.
To withdraw a report:
In the app:
- Open the app and go to Report
- Select and open the report you wish to withdraw
- Tap the button "withdraw report"
- You can now create and submit a new report
On the web:
- On Driversnote’s website, go to Reports
- Open the report you’ve submitted to the team
- At the top of the report, click "withdraw report"
- You can now create and submit a new report
Common Questions
I only need to submit business-related trips but I track my personal/private trips as well. How can I fix this?
The trips you drive are only accessible to you and you alone. The team admin/manager only has access to your reports. Simply create a report and select Business only. This way you can track all your trips and only submit the relevant business trips to them.
