How to: set up reporting periods and reminders

You can set a custom reporting period, which makes it easier to create mileage reports with the correct time frame for your deductions and reimbursement. You can set a yearly, quarterly, monthly, biweekly/fortnightly, weekly or daily reporting period. 

You can also choose to be notified via email when you need to create a report.

If you are part of a Team, the Team admin can set a reporting period that will be used by every team member. 

Once you’ve set a reporting period, that will be available as a preset whenever you create a report

Set a reporting period in the mobile app

  1. Open the Driversnote App and go to Settings > Reporting Periods
  2. If you have more than one Workplace, select the Workplace you want to set a reporting period for
  3. Click the Period dropdown option and select how often you need to report your mileage (Yearly, Quarterly, Monthly, Biweekly/Fortnightly, Weekly, Daily)
  4. Click the Starting date option to select when the reporting period should start
  5. Check the box Send an email reminder, if you would like us to send you a reminder one business day after your reporting period ends. If you don’t wish to receive a reminder, simply leave the box unchecked.  The email reminder will include a preview of the report for all your personal/private and business trips associated with the selected Workplace.
  6. Click Save

Set a reporting period on the web

  1. Log in to Driversnote and go to Settings > Reporting Periods
  2. If you have more than one Workplace, select the Workplace you want to set a reporting period for
  3. Click the Period dropdown option and select how often you need to report your mileage (Yearly, Quarterly, Monthly, Biweekly/Fortnightly, Weekly, Daily)
  4. Click the Starting date option to select when the reporting period should start
  5. Check the box Send an email reminder, if you would like us to send you a reminder one business day after your reporting period ends. If you don’t wish to receive a reminder, simply leave the box unchecked.  The email reminder will include a preview of the report for all your personal/private and business trips associated with the selected Workplace.
  6. Click Save

You can change the reporting period whenever you need to by going to the same section you added it and changing the details there.

Note: For all reports, we send out the notification on the first work day after the new period begins. For example, if the 1st of the month is on a Sunday and you get monthly reminders, you will receive your email report reminder the next day, on the Monday. So no need to panic if you don’t immediately get your reminder! 

Remember! You can create a report in the app or on the web at any time, so you are not restricted to the times set by your reporting period.
